A destination wedding planner can be based in Spain or in the USA. For a wedding near Barcelona, choose the team that can demonstrate regional experience, arrange the necessary local preparation, and name the person leading your wedding day. Location matters because it affects how that work happens; it does not replace experience.

If you are comparing a Spain-based or US-based wedding planner for 2027–2028, this guide explains the practical differences. The same questions apply whether you are considering Barcelona, nearby Sitges, or a venue on the Costa Brava.

Considering a local planning team? Share your preferred dates, guest count, and main wedding-day budget, then choose a Discovery Call time with Casamiga Weddings.

Three ways to organise the planning team

“Destination wedding planner” describes the work, rather than the country where a planner lives. A Spain-based team can specialise in international couples, while an experienced US-based planner may organise weddings in Spain through planned visits and local partners.

Planning model,

How local preparation works

What to establish before booking

Spain-based team

Local venue and supplier work is handled through the team’s agreed service.

Who visits the venue, communicates with suppliers and leads on the wedding day.

US-based planner

Preparation may combine remote work, visits to Spain and destination partners.

Relevant regional experience, travel commitments and local execution arrangements.

Two-team collaboration

A US planner and a team in Spain divide the work.

One lead, a written division of responsibility and how both teams’ fees fit the budget.

None of these models automatically includes every service. Confirm the actual scope, rather than assuming that “full planning” means the same thing in every proposal.

When a Barcelona-based planning team may suit you

A team based in the Barcelona area may be a practical fit when you are still choosing the venue and want the same planning team to coordinate preparation in Spain. Ask how venue visits, supplier meetings, design decisions and event access will be handled within the proposed scope.

Regional familiarity matters. A wedding near Barcelona and Sitges needs a plan around its actual hotel locations and venue access. A Costa Brava celebration may involve a different accommodation base and transfer programme. Experience should relate to the area and event format you are considering.

You should also be able to understand the plan from home. Agree on video meetings, written decision summaries, and who communicates with suppliers between calls. Being based in Spain should support a clear planning process for you in the USA.

When bringing a planner from the USA can work

A US-based planner may be the right choice if you already trust their work, value their design approach, and can confirm their ability to deliver your wedding in Spain. Ask for relevant projects and a clear explanation of how the venue and supplier work will happen before they arrive.

Check the proposed visits, local partners, team arrival and departure dates, and who handles issues while the planner is outside Spain. An established destination workflow can make this model effective. A shared home time zone alone does not establish local delivery.

If two teams are involved, agree who leads before commissioning overlapping work. The venue, caterer, and production suppliers should know whose instructions to follow and which decisions still need your approval.

Compare responsibility before comparing the fee

Use the same wedding brief for each team. Give them your preferred dates, guest count, region, main wedding-day budget, and any additional events. Then establish who owns the following tasks.

Task,

What your proposal should clarify

Venue preparation

Who assesses the spaces, access and proposed event layout, and whether visits are included.

Supplier coordination

Who sources, briefs and confirms suppliers, including any mandatory venue partners.

Individual wedding design

Who develops the concept and coordinates the suppliers implementing it.

Guest logistics

Who plans hotel-to-venue movements and what guest communication support is included.

Wedding-day leadership

The lead planner, supporting team, coverage hours and handover arrangements.

Weather changes

Who coordinates the alternative layout with the venue and suppliers.

Additional events

Separate responsibility and fees for a welcome dinner or next-day gathering.

For instance, an illustrative 80-guest wedding with a welcome dinner needs clarity about both events. If the planner covers only the main wedding day, the welcome dinner still needs an agreed organiser, location, and supplier plan. Accommodation at a venue does not itself provide that event-management service.

Include travel and additional work in the comparison

Ask each team to distinguish its planning fee from travel, accommodation, site visits, additional staffing and extra event days. Identify what is included, excluded, or still to be confirmed, together with applicable VAT.

A local planner is not automatically cheaper, and a travelling planner is not automatically more expensive overall. Compare complete proposals for the same work. Equally, hiring two teams is useful only when their responsibilities are clear enough to justify the combined scope.

Casamiga Weddings is based in Spain and works with international couples planning in Barcelona, Costa Brava, Girona, Sitges and selected nearby areas. Our English-speaking team connects venue selection, budget planning, an individual wedding design project, supplier coordination, and management of the main wedding day.

Full Wedding Planning, Design & Management starts from €5,950 + VAT. Venue hire, catering, and other third-party supplier costs are separate. Additional wedding-weekend events are scoped and quoted individually.

If you are considering a main wedding-day budget around €50,000 or above, share it with your guest count and priorities. We assess the planning fit individually; that budget does not guarantee suitability for every venue or celebration.

Your first step is a Discovery Call. Detailed venue recommendations and a personalised proposal follow that conversation.

Questions about choosing your planning team: Spain-based or US-based wedding planner

Can a Spain-based planner work with us while we live in the USA

Yes. Agree how meetings, approvals, and supplier updates will work across time zones. You can make key decisions remotely while the planning team handles the agreed local work in Spain.

Do we need both a US planner and a planner in Spain

Not necessarily. One suitably experienced team may cover your agreed scope. If you use two teams, define one lead and divide local preparation, design and wedding-day management clearly.

Does being local guarantee access to our preferred venue or date

No. Venue and supplier availability must be checked for your specific date. A planner’s location does not reserve a venue or guarantee a particular booking outcome.
